Objectives

Bridgwater & Taunton College Trust initially employed HCSS - Access Budgeting and Finance, but the limitations of their previous system necessitated a transition to Sage Intacct. They approached ION with the aim to:

- Simplify General Annual Grant (GAG) pooling and fund redistribution through Sage Intacct's multi-entity shared environment.

- Implement easy consolidated VAT reporting as a core feature of the new system.

- Facilitate real-time reporting via dashboards to minimize the time and cost of report production for key staff members.

Key objectives included:

1. GAG Pooling: Achieve the capability to report Key Performance Indicators (KPIs) by academy and for consolidation purposes, streamlining the distribution of centrally held income to schools.

2. Streamlined Purchase-to-Payment Processes: Reduce paper-based workloads by empowering staff to submit digital requisitions, preserving school autonomy while adhering to the school scheme of delegation.

3. Improved Reporting Flexibility: Enhance the reporting suite, enabling the inclusion or exclusion of elements in financial reports using interschool mapping and dimension grouping. Eliminate the need for manual spreadsheet creation and calculations.

4. Data Quality Improvements: Introduce system-based user restrictions on schools, departments, and dimension relationships to minimise coding errors and allow users more time to focus on activities outside the finance system.
